Cancellation & Refund Policy
At GOKUL TOURS AND TRAVELS, cancellations must be submitted in writing. Refunds are processed based on the terms and conditions of your booking and may incur applicable fees. Please refer to your package details for specific policies. For help, contact admin@gokultoursandtravels.com.
1. Cancellation by Customer
If you need to cancel your booking, the following cancellation charges will apply based on when we receive your cancellation request:
- For flight, train, or bus tickets: Cancellation charges as per the respective transport provider's policy apply. We charge a nominal service fee for assisting with cancellations.
- For hotel bookings: Cancellation policies vary by hotel. Most hotels offer free cancellation up to 24-72 hours before check-in. Last-minute cancellations may incur a 1-night penalty.
- For tour packages, group tours, and fixed departure trips, the following cancellation charges generally apply:
- 30 days or more before departure: 25% cancellation fee (75% refund)
- 15–29 days before departure: 50% cancellation fee (50% refund)
- 8–14 days before departure: 75% cancellation fee (25% refund)
- 0–7 days before departure: 100% cancellation fee (no refund)
- No-show policy: If you don't show up for your trip without informing us, no refund will be provided.
- If applicable, refunds will be processed within 7–10 working days after cancellation confirmation.
2. Cancellation by Gokul Tours and Travels
In rare situations, we may need to cancel a trip due to circumstances beyond our control such as natural calamities, government regulations, operational issues, or insufficient group size. In such cases:
- Customers will receive a full refund or the option to reschedule the trip to a future date.
- No cancellation charges will be deducted in these scenarios.
- We will notify you as early as possible and provide alternative options when available.
3. Non-Refundable Components
- Airfare, train tickets, visa fees, permits, and third-party services booked on your behalf are non-refundable unless otherwise stated by the respective service provider.
- Promotional offers, discounted packages, and last-minute deals may be non-refundable and will be clearly communicated at the time of booking.
- Travel insurance premiums are non-refundable once the policy is issued.
- Service fees charged by GOKUL TOURS AND TRAVELS for booking assistance are non-refundable.
4. How to Request a Cancellation
To cancel your booking, please:
- Send an email to munnarpavithraholidays@gmail.com with your booking reference number
- Include "CANCELLATION REQUEST" in the subject line
- Mention your name, booking date, and travel details
- Alternatively, call us at +91 99434 24061 during business hours
- You can also visit our office in person for assistance
Note: Cancellation requests are considered accepted only when you receive a confirmation from our team.
4. Mode of Refund
Approved refunds will be credited to the original mode of payment within 7-10 business days after cancellation confirmation.
- Credit/Debit Card payments: Refunded to the same card (may take 7-10 business days depending on your bank)
- Bank Transfers/UPI: Refunded to the same bank account
- Cash payments: Refunded via bank transfer or check
- Any transaction or processing charges incurred during payment may be deducted from the refund amount
5. Date Change/Rescheduling
If you wish to change your travel dates instead of cancelling:
- Date change requests are subject to availability
- Difference in fare (if any) will be charged
- A nominal service fee may apply for processing date changes
- Requests made less than 7 days before departure may be treated as cancellation and new booking
